How do I set up Leave Carryover and Leave Expiry in Staffomatic?

This article explains how to configure the new automatic leave carryover and leave expiry feature in Staffomatic. You will also learn how the available settings differ depending on your plan (Basic, Professional, or Premium).

You can find all settings for leave carryover and leave expiry under Absences → Settings. There, you can activate automatic leave carryover and—if you’re on the Premium plan—decide whether unused leave should expire.

 

1. Where do I find the settings?

  • Go to Absences

  • Open 1. Settings

  • Here you will find the options for Leave Carryover and—if you have Premium—Leave Expiry

2. How do I configure automatic leave carryover?

  • In Basic and Professional plans:

    • You will see an upgrade prompt

    • The feature is not available

  • In Premium plans:

    • Enable the toggle: Automatically carry over leave days

    • Select the date on which the annual carryover should occur

      • Default: January 1st

      • Any month/day combination can be selected

 

The selected date always refers to the current year.
If the date is already in the past, the carryover will take effect starting next year.

Example:

  • The current year is 2025

  • You select January 1st, 2025 as the carryover date

  • → The carryover will start on January 1st, 2026

  • → No leave from 2024 (the previous year) will be carried over again

 

3. How do I configure leave expiry? (Premium only)

  • After enabling carryover, you can choose:

    • No expiry of leave days (default)

    • Expire unused leave days

  • If expiry is enabled:

    • Only leave that has already been carried over into the current year can expire

    • Expiry occurs on the selected date

Example:

  • 4 leave days from 2024 were carried over into 2025

  • Expiry date: March 31st, 2025

  • → If the days are not used by then, they will automatically expire

Expiry can only occur if a carryover has happened first.
If this is not possible, the system will show an error message.

 

4. What happens when upgrading or downgrading the plan?

  • Downgrade from Premium → Professional/Basic:

    • The setting automatically resets to “no expiry of leave days”

  • Upgrade back to Premium:

    • The previous expiry selection will appear as preselected,

    • but it will not be activated automatically

    • The user must manually re-enable the expiry setting

 


Changes always take effect for the current or upcoming year.
Example: If you do not want expiry during the current year, set the expiry date on January 1st so it will apply only to the next year.

  • After making any changes, click Save at the bottom of the page
