What is Staffomatic? 

>>Staffomatic is first and foremost an online shift scheduling tool, that allows employers and employees to distribute shifts collaboratively, but also to signal absences such as illness and vacation or to record their working hours. The employer decides which functions you use by subscribing to them. Staffomatic only provides the technology.<<

 

Invitation and profile 

The invitation as well as future email notifications come from the same Staffomatic email address. It may happen that this email address ends up in spam or is otherwise rejected.

hello@staffomatic.com is the address for all invitations and notifications from Staffomatic. Add this to contacts, mark them as NO SPAM or put add it on the so-called whitelist.

The email address is a no reply address. This means that you cannot send emails to it. Another reason why you may not receive our emails could be that your mailbox is too full.

Make sure that your email inbox is not full. For example, sort the emails by size, often various large emails can be deleted in both the inbox and outbox.

As soon as the e-mail invitation has been accepted, and you have set up your account, the profile can be completed. This may already have been done by your employer.

You can use Staffomatic on your smartphone via the app as well, or in the browser on your laptop/computer; as all data is transferred to the Staffomatic Cloud.

Availabilities 

Both your companies admins/planners as well as yourself can specify the general availability, provided the function is activated.

When are you ready to take over a shift, provided you are not absent?

By providing this information, you can prevent yourself from being assigned to a shift at a time when you are generally not available. The planners can still disregard this, so the information is not a guarantee.

Absences 

Your employer provides the types of absences you can select and decides whether you can see your colleagues' absences or not.

Depending on the circumstances, you can inform your employer about the type of absence, the duration, and provide additional details through a comment.

Once the absence has been created, you can also upload a document, such as a doctor's certificate of incapacity for work.

Your employer will then be informed, can adjust the absence and approve it at the end, which you will then be informed of.

Shift Planing and Reports 

You will be notified by email when your employer has published a new weekly schedule in which shifts are available for you. Depending on your employer's settings, you can now apply for open shifts, withdraw applications, view your shifts, offer to swap your shift or even withdraw from your shift. If a shift is full, you can put yourself on the waiting list and offer your employer alternatives.

If your employer has several locations, use the location selection to go to the weekly schedules of the individual locations. You can also see all available shifts across all locations on your smartphone in the app.

Under the Report tab, you can filter different time periods and view your working hours independently of weekly schedules. Depending on the settings, this can be updated by your employer or yourself without changing the shift in the weekly schedule. The evaluation can therefore function as a digital timesheet.

Time Tracking 

You can create a PIN under the tab Time Tracking or in your profile, which you should remember. Your employer can also do this for you, in both cases you will be informed of this PIN by email.

The terminal is a separate app for Android, iOS or as a web app. This is activated with the login data from Staffomatic, which only your employer may be able to do depending on the settings. The employer will inform you where you can clock in and out.

If your employer approves the terminal for your smartphone, you no longer need a PIN to start, end or interrupt your time tracking with a break.

Please Note! The adherence to the break regulations of your employer or your employment contract.

Working Time Accounts 

The working time account calculates your scheduled hours according to the employment agreement with your employer against your actual working hours (either from the schedule or time tracking), taking into account holidays and paid absences, and computes possible allowances and overtime with this data.

At the end of a payroll period, your employer can invite you to check the working time account.

If wages are activated, your hourly wage can be 1. The background to this is that the wage is then alternatively used as a time value in order to be able to calculate the time bonuses correctly.
