1. Description
Everything in one working time account: Working hours, absences, holidays & optional wage calculation with demand-based supplements.
In addition to a Goal hours & actual hours' comparison, supplements can also be defined and calculated. Wages and bonuses can be calculated, but do not have to be. This function is only available in the Premium subscription.
The term "supplements" is understood to mean a multiplication of time or money by the employee's working hours, or wages, according to the work agreement.
Supplements are usually paid for Sunday and holiday work, night work & work in certain areas.
2. Supplements
In order for supplements to be calculated in employees' working time accounts, the desired supplements must first be created and defined.
First, supplements are created in general. These can then be individually assigned to each employee, if the employee is to receive the respective supplement.
Under the tab "Working time accounts" > subheading: "Supplements," > "Create Supplements" surcharges including surcharge rules can be created.
The wizard will guide you through all the steps involved in creating supplements:
a) Give the supplement a name and add a description.
Name: Night shift
Description: From 22:00-06:00, employees receive a supplement of 50% of the normal hourly rate.
b) Define the calculation of the supplement. Here, you can choose between a percentage or absolute (euro amount) calculation.
Example: Percentage = Entry of the desired percentage: 50%
Absolute = Entry of the desired euro amount: 16- per hour extra
c) Determine a rule type, when the surcharge should be calculated or which work assignments should be changed by the surcharge.
1) Location-rule:
Determines whether only working times from the selected locations should be taken into account for the rule or not.
2) Department-rule:
Determines whether only working times from the selected department should be taken into account for the rule or not.
3) Weekday-rule:
Determines whether only working times on certain days of the week should be taken into account for this rule or not.
4) Special days-rule:
Determines whether only working times on public holidays should be taken into account for this rule or not.
5) Time-rule:
Determines whether only working times at certain times of day should be taken into account for this rule or not.
Note: Currently, a rule type cannot be changed retrospectively.
If a change needs to be made at this point, the supplement must be deleted and recreated.
All rule types can also be excluding. In this case, excluding means that a specific rule constellation must be adhered to.
Therefore, it is necessary to define and create several rule types per supplement.
Example: You would like all employees to receive a 10% surcharge on weekdays between 18:00 and 22:00, except for special days (e.g. Christmas & New Year):
Solution:
- Time-rule: 18:00 and 22:00 (including)
- Weekday-rule:Saturday & Sunday (excluding)
- Special days - rule (excluding)
3. Calculation of the wage
Once the supplements have been created and defined, it is then necessary to determine which supplements should be taken into account for which employee. To do this, the "Wage calculation" function must be activated in the employee's work time account settings.
Note: With the time tracker, the timers need to be connected to the shift, otherwise no department or location affiliation can be taken into account.

Example: More hours worked/overtime
Employee (25 Euro gross hourly wage) works from 8 a.m. to 10 p.m
Excluding the core working hours from 8 a.m. to 6 p.m., employees receive a 50% supplement
10 hours (8-18 h) x 25€ = 250€
+ 4 hours (18-22 h) x 25€ x 1,5 (50%) = 150€
= 250€ + 150€ = 400 € total wage
Example: Sunday supplement
Employee (€25 gross hourly wage) works on Sundays from 12-14.
On Sundays, employees receive an absolute surcharge of €1 per hour.
2 hours x 25€ = 50€
+ 2 hours á 1€ = 2€
= 50€ + 2€ = 52€ total wage
Example: Public holiday surcharge
Employee (€25 gross hourly wage) works half a day on Christmas day from 1-5 pm.
On public holidays, employees receive a supplement of €20 per hour.
4 hours x 25€ = 100€
+ 4 hours 20€ public holiday supplement = 80€
= 100€ + 80€ = 180€ total wage
