Instant assign when creating shift (21. October .2020)

Users can now be instantly assigned while creating a shift

This feature is only available in the new Staffomatic version 4.

When creating a shift you will now spot a dropdown menu just above the note form field where you can time the first letters of a user and chose from the list. It allows to create instant assignments in the moment you press save and the shift is created.

Deadlines (20. October .2020)

Set deadlines for swapping, self-remove and self-assign

This feature is only available in the new Staffomatic version 4.

In the location settings you can set the standards for new schedules created. Adjust here, how you want the following options to be set for each future schedule. Of course, you can adjust the settings individually in each and every single schedule via the schedule options.

  • How many hours until shift start you allow a swap to take place? This deadline allows you to restrict swapping until the very last resort which sometimes makes the planning difficult.
  • If allowed employees can self-remove themselves from an assignment to a shift. You can now set a deadline until when they can do so.
  • If allowed employees can self-assign themselves to a shift. You can now set a deadline until when they can do so.

Paid vacation option (24. August 2020)

Prevent hiding-out the paid vacation button

This feature is only available in the new Staffomatic version 4.

Already available in version 3 we also adjusted the absence creation in the new version. Now the paid vacation button won't be hidden anymore thereby allowing you to tell the work time account whether an absence should be calculated or not.

Improved In-App Privacy Options (17. August 2020)

Switch on and off personal information form fields

This feature is only available in the new Staffomatic version 4.

Sometimes employers wish that no private information of staff is visible to other users. Now, moving to account settings and scrolling down to part five please find "Displayed users contact information". Switch on or off the fields that you want to be displayed in the employee section. Remember: You can also hide the employee tab for employees. You will probably only need this function whenever you allow employees to see details of colleagues but want to opt out the one or the other detailed information.

Optimized month-navigation in the schedule (04. August 2020)

The buttons for month back and forward do not jump anymore.

This feature is only available in the new Staffomatic version 4.

In the schedule there are two buttons allowing you to either move to the last month or to the next month. Due to a changing number of weeks per month the buttons used to move position, which has now been corrected. The buttons stay in position and thereby facilitate navigation in between months.

Overnight shift indicator (03. August 2020)

Beginning of a shift on day X and ending of a shift on day Y.

This feature is only available in the new Staffomatic version 4.

In the old version of Staffomatic, there was a tiny indicator in each shift that was lasting overnight. Now, this has been reproduced also for the new version with a tiny 24 hrs. icon indication a change of date between beginning and end of a shift.

Department order (22. July 2020)

How to arrange and sort departments in the list view of schedules.

This feature is only available in the new Staffomatic version 4.

This update allows you to sort departments in the list view of your schedules in alphabetical order from A to Z and vice versa, but also to select the traditional DIY order. Just drag the department names in the schedule and drop them where you want them. The function is situated on the right of the term "Department" and left of "Monday". The individual order will be saved and each user can have her or his own order.

Shift swapping notes (07. July 2020)

Where do I see the reasoning why the user wants to swap a shift?

This feature is only available in the new Staffomatic version 4.

From now on also the browser version of Staffomatic features the possibility for users to reason their shift swapping request. Admins and managers find the reason when klicking a shift with a shift swap request, moving to the shift swap tab and klicking the note pad icon next to the shift swap accept and decline buttons.

Reports logic changed (22. June 2020)

What happens with overnight assignments?

This feature is only available in the new Staffomatic version 4.

Until now it could happen, that such assignments lasting overnight would show up for two different days which caused problems for companies using this section to pay their helps. This is why we changed the logic here and an assignment is now only shown, when it started inside the set time filter.

Example: Filtering 31.1. - 01.2., the assignment from 31.1. 6 pm until 01.02. 4 am will show up. Changing the filter to 01.1. - 31.1. the assignment is shown with 10 hours. Altering the filter again to 01.2.-28.2. no assignment will be shown since it begun before the filter.

Schedule button colours corrected (11. June 2020)

What is what when scheduling?

This fix is only viable for the new version V4.

Some errors have been fixed and now it is more comprehensive what is on the to do list and what is already solved.

When a schedule is created the indicators for the schedule are yellow such as the button for publishing on the bottom right. Yellow shows you that there is something to do. Only published schedules are available for employees. When published and everything is solved the indicator for the week on the top changes to blue and the button on the bottom right will be greyed and change to "send changes".

As soon as the first changes have been made to the schedule, the button changes to yellow again and starts counting the number of changes. Employees can already see each change, and sending changes gives you the chance to again inform them via mail that changes have been made.

Improved Schedules Export (10. June 2020)

Colours, Required Staff and E-Mail export. More to come.

This fix is only viable for the new version V4.

The PDF export of schedules are now coloured as chosen for the department and features the number of required and actual staff per shift. Huge PDF files will be sent via e-mail and more options for the export about to come.

Messages can be commented again (08. June 2020)

The design of the messages features has been reworked and the allow comment function got restored.

This fix is only viable for the new version V4.

Messages is a feature that allows to notify employees about the latest news. You can find an article about it in the help center. Only when the box "allow comments" was checked, employees can comment the message.

Improved Reports Export (18. May 2020)

E-Mail added + separate names + notes + date/time

This feature is only viable for the new version V4.
When trying to export shift reports in the reports section there had been quite a number of cases reported where a change in style was demanded. We are happy to announce that from now on first and last names are separated into two distinct columns, while the same is true for date and time. Also, we've added the users e-mail addresses and shifts notes to the export.

Bug Fix Shift Editing (15. May 2020)

Editing a shift and shift end was changed by break duration

This bug fix is only viable for the new version V4.
There was a bug when trying to edit starting time or ending time of a shift. Afterwards, in the schedule, the time was reduced by the duration of a break. Now, since the bug fix everything is back to normal.

Improved Time Tracking Export (14. May 2020)

E-Mail added + separate names and date/time

This feature isn't viable for basic/starter users with absences.
When trying to export tracked times in the time tracking section there had been quite a number of cases reported where a change in style was demanded. We are happy to announce that from now on first and last name are separated into two distinct columns, while the same is true for date and time. Also, we've added the users e-mail addresses to the export.

Improved Employee Export (13. May 2020)

Some values have been added plus a change in order

This fixture applies to all accounts.
When trying to export users via excel or CSV you'll find an improved style of the file. Birthday have been added, same as employee form fields (can be added in the account settings), roles are now available (whether a user is admin, manager or employee) and last but not least location and department names are now in clear text (not just IDs as it used to be). Also, we've changed the column order a little bit.

All locations absence category (12. May 2020)

Absence categories can now be created for all locations at the same time.

This feature isn't viable for basic/starter users with time tracking or using the old V3 version.
When creating a new absence category, you can check the box for applying to all locations. When saving, the category will be available throughout all locations. They will not be linked with each other so they're individually adjustable.

All locations special days (11. May 2020)

Special days can now be created for all locations simultaneously. Holidays are not allowed to overlap.

This feature isn't viable for basic/starter users with time tracking or using the old V3 version.
Some companies use multiple locations and need to create special days which apply to all of them. With this new feature you will be able to turn a switch and tell the system that the special day you are about to create shall apply to all locations.
It might be necessary to log out, delete cache and log in again in order to set the change live.
Attention! Holidays are not allowed to overlap in this function. The special day will not be created.
